Key Responsibilities

  • Answers, screens and directs telephone calls in a professional and timely manner; takes accurate messages with a high degree of professionalism and courtesy.

  • Recruit, build and nurture a sales team.

  • Exercises considerable judgment and discretion in handling requests for appointments and telephone calls.

  • Responds to general inquiries regarding GTR policies, procedures, and programs.

  • Meets and greets visitors in a courteous and professional manner.

  • Composes, types, and distributes professional correspondence and memoranda, E-mails and faxes, using individual initiative and as assigned.

  • Proactively establishes, and maintains highly organized filing system; files correspondence and other records.

  • Receives checks and prepares deposit slips for Staff Accountant to deposit daily; verifies remittances against business accounts.

  • Ensures timely and accurate processing of accounts payable; receives, verifies, and posts accounts payable invoices into accounting system.

  • Interacts with vendors and department managers when processing a resolution of account discrepancies.

  • Receives and reviews sales agreements, purchase orders, and/or other related documentation for completeness and compliance with financial policies, procedures, and contractual requirements.

  • Receives credit card receipts and reconciles against corporate credit cards on a monthly basis.

  • Follows up on account statements and other discrepancies regarding payment of accounts.

  • Reviews, audits, and processes employee expense reimbursements; verifies accuracy of expenses and adherence to company policies.

  • Assists with month-end close and runs monthly reports as required.

  • Manages assembly and distribution of sales packets as part of follow-up to specific sales calls, either in response to cold calls or at the direction of the sales representative.

  • Prepares quotes, contracts and RFP/RFI responses for clients and prospects.

  • Maintains accurate records in CRM.

  • Coordinates travel arrangements; completes expense reports and processes invoices; ensures that correct account codes are used and required signatures obtained.

  • Generates and edits complex spreadsheets, including formulas, formatting and graphs.

  • Coordinates meetings including but not limited to preparing and distributing agendas and other meeting materials, reserving and preparing facilities, and recording and transcribing meeting minutes.

  • Attends meetings and other functions as needed.

  • Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.

  • Orders and maintains supplies, coordinates equipment maintenance.

  • Assists in the development and implementation of department systems and procedures as needed.

  • Sorts and distributes internal and external mail.

  • Performs general clerical duties including but not limited to filing, photocopying, faxing, typing, and mailing.

  • Assists with special accounting projects as needed.

  • Performs other related duties as assigned by management.
