Receives checks and prepares deposit slips for Staff Accountant to deposit daily; verifies remittances against business accounts.
Ensures timely and accurate processing of accounts payable; receives, verifies, and posts accounts payable invoices into accounting system.
Interacts with vendors and department managers when processing a resolution of account discrepancies.
Receives and reviews sales agreements, purchase orders, and/or other related documentation for completeness and compliance with financial policies, procedures, and contractual requirements.
Receives credit card receipts and reconciles against corporate credit cards on a monthly basis.
Follows up on account statements and other discrepancies regarding payment of accounts.
Reviews, audits, and processes employee expense reimbursements; verifies accuracy of expenses and adherence to company policies.
Assists with month-end close and runs monthly reports as required.
Manages assembly and distribution of sales packets as part of follow-up to specific sales calls, either in response to cold calls or at the direction of the sales representative.
Prepares quotes, contracts and RFP/RFI responses for clients and prospects.
Maintains accurate records in CRM.
Coordinates travel arrangements; completes expense reports and processes invoices; ensures that correct account codes are used and required signatures obtained.
Generates and edits complex spreadsheets, including formulas, formatting and graphs.
Coordinates meetings including but not limited to preparing and distributing agendas and other meeting materials, reserving and preparing facilities, and recording and transcribing meeting minutes.
Attends meetings and other functions as needed.
Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
Orders and maintains supplies, coordinates equipment maintenance.
Assists in the development and implementation of department systems and procedures as needed.
Sorts and distributes internal and external mail.
Performs general clerical duties including but not limited to filing, photocopying, faxing, typing, and mailing.
Assists with special accounting projects as needed.
Performs other related duties as assigned by management.
